Platforms such as Google Ads and others are what we call "Deferred Payments Platforms". In this FAQ, we explain how to obtain and upload the right invoices for these platforms.

Understanding Invoicing for Deferred Payment Platforms

Some platforms operate on a deferred payment model, such as Google Adwords. In this system:

Customers make payments that are credited to their accounts.
The platform deducts from this credit as services are utilized. Fees, discounts, refunds, and taxes may be applied internally to this credit.
Subsequent payments are made by the customer, increasing the credit as it gets deducted.

The problem is, the invoices issued by these platforms often lack a direct correlation between payments and services rendered. This poses a challenge for accountants in reconciling these transactions.

A concrete example:

Consider an invoice from Google Adwords covering a specific period. During this time, the customer might have made several installment payments, making it challenging for accountants to match these payments with the invoice details in the bank statement.

The payments

Due to the sometime opaque financial operations happening inside such platforms with the provided credit, it may be unfeasible to match the payments with the final invoice issued every financial period by the provider of the service.

How to Address This:

To facilitate accurate accounting, we need the right invoices or payment receipts. Here’s a simple guide on how to navigate this:

Obtain Invoices for Payments, not the invoices with the internal credit changes:

What to Look For:
Data of the seller and the buyer
Unique invoice or payment ID
Amount, applicable taxes, and total paid
Date of issue

In the case of Google Ads, clicking on any of the payments in the list will generate a proper invoice for that payment.

Armed with this information, our accountants can precisely match each movement with its corresponding invoice, ensuring accuracy, compliance with regulations, and maintaining high-quality accounting standards.

How to Get Them:
Platforms like Google Ads often allow you to download payment receipts. Check for an option like "Payments" in your account settings.

Contact the Provider if Needed:

If you can't find where to get these invoices or receipts, don’t hesitate to reach out to the provider's support. Explain that you need detailed invoices matching your bank movements.

Consider Alternatives if Necessary:

In cases where the provider can't offer these invoices, it might be worth exploring alternatives that can provide the needed documentation.

Why It Matters for You:
Without invoices matching your payments, your options are:

Refund from Personal Account:Transfer the money from your personal account to the corporate one, specifying "Refund for payment to XXXX on date DD.MM.YYYY."
Declare them as non-business expenses: If obtaining invoices becomes unfeasible, we might have to declare these expenses as "non-business related." This incurs a tax liability of 25% net in Estonia.
