How to Download the Bank Statements of Stripe for Your Accounting and Your Annual Report?
As you know, one of the essential requirements for accurately managing your accounting is to obtain access to complete bank statements of all the company's accounts, including payment gateways like Stripe.
We need two pieces of information:
- The balance history, that contains all the transactions from a specific period. This statement must contain all the movements, not only the payments received but the withdrawal of funds after your bank account, possible refunds, etc.
- The balance summary, with a starting and ending balance. This serves as a security check to make sure all the movements plus the starting balance equal the ending balance.
In this article, we will guide you through the steps you must follow to retrieve these documents.
First, log into your Stripe account. In the menu on the left, choose “Balances” and then “All Activity” (this is important). Now click on the “Export” button on the top right.
You will see a dialogue box. The date you choose depends on whether you need it for monthly accounting, to prepare your annual report, or for a specific period:
If it is for monthly accounting, in the appearing dialogue box, choose "UTC" as the time zone, "Last month," and "All columns." Click on the "Export" button. A CSV file will be downloaded.
If it is for the annual report, in the appearing dialogue box, choose "UTC" as the time zone, "Custom," and "All columns." Click on the "Export" button. Select January 1st of the financial year of the report as the start date, and then choose December 31st of the same year as the end date. A CSV file will be downloaded. If the file size is too big, you may need to ask Stripe to send you a copy via email.
If it is for a specific period, choose "UTC" as the time zone, "Custom", and "All Columns", and then choose the right period for the dates. Remember that this interface may be in Imperial Units, so the month will go before the day (MM/DD/YYYY, not DD/*MM**/YYYY).
If you've done it correctly, the spreadsheet exported will contain a series of rows with identifiers that start with "txn_", like the image below shows:
Now, navigate to the "Reports" section (or "Reporting" in some cases), followed by "Overview." Then click on "Balance summary".
Choose the same options that you chose before for the Timezone and Dates (or period). In particular, make sure UTC is selected at the top. Then, click on the "Download" button.
If asked for the columns, select "All".
You need to upload that file, alongside the previous CSV file you got from the “All transactions” section to Companio. When uploading the balance summary, Companio will probably indicate that there were no transactions in the file. That’s normal, it is a balance, so it does not contain any transactions. The transactions are in the balance history that you exported previously.
